How we use information
We use personal information where necessary to:
- respond to enquiries and requests for quotations;
- identify locker keys, locks, parts or other products;
- process and fulfil orders;
- arrange delivery, servicing or other requested work;
- communicate with customers about an enquiry, order or service;

Our lawful basis for using information
The lawful basis depends on why the information is being used.
- Contract: where processing is necessary to provide a quotation, take steps requested before entering into a contract, fulfil an order or provide a service.
- Legal obligation: where we are required to keep or disclose information for tax, accounting or other legal purposes.
- Legitimate interests: where reasonably necessary to operate and protect our business, maintain website and system security, respond to customers, prevent misuse and maintain appropriate business records.
- Consent: where we specifically ask you to agree to an optional use of information that is not otherwise necessary.
Website logs and security
Like most web servers, our server records technical information when pages and resources are requested. This may include an IP address, date and time, requested URL, response code and browser information.
We use these records for normal website operation, security, fault diagnosis, capacity management and investigation of suspicious or abusive activity. Server logs are not published and are accessible only where required for legitimate administrative or business purposes.
Cookies and local storage
Our website may use session cookies or similar storage where this is necessary to provide functionality requested by the user, protect forms, maintain security or preserve information during a transaction.
We do not require visitors to accept advertising or behavioural tracking technologies in order to use the normal Total Locker Service website.
If we introduce an optional feature that requires additional tracking, personalisation or profiling, it will be disabled by default. We will explain what additional information is collected and why before asking you to enable it.
Enquiry and quotation forms
Information submitted using our enquiry, quotation and product-identification forms is used to deal with the request and any resulting business relationship.
Where you upload photographs or documents, they are used to help us assess the enquiry, identify products or parts, prepare a quotation or provide the requested service.
Payments
Where payment is made using a card, payment link or other payment service, the information necessary to process the transaction may be handled by payment service providers and financial institutions.
Total Locker Service does not retain full payment-card details supplied through an external payment service.
Deliveries
Where goods need to be delivered, relevant information such as the recipient's name, delivery address and contact details may be provided to organisations involved in transporting or delivering the order.
Who we may share information with
We do not sell personal information.
We may provide relevant information to service providers where this is reasonably necessary to operate our business or provide the service requested. These may include:
- payment and financial service providers;
- delivery and transport providers;
- IT, communications and business-system providers;
- manufacturers or suppliers where necessary to fulfil or investigate an enquiry;
- professional advisers; and
- public authorities or regulators where disclosure is required by law.
Only information reasonably necessary for the relevant purpose is shared.
International processing
Some organisations providing business or technical services may process information outside the United Kingdom. Where personal information is transferred internationally, we use service providers and arrangements intended to provide the protections required by applicable UK data-protection law.
How long we keep information
We do not keep personal information indefinitely simply because it has been collected.
- Enquiries and correspondence are retained for as long as reasonably necessary to deal with the enquiry and any resulting business relationship.
- Information forming part of an order, transaction, invoice or accounting record may be retained for the period required by tax, accounting and company law.
- VAT and relevant business records are normally retained for at least six years where required.
- Uploaded photographs and documents are retained only while they remain useful for the enquiry, order, service or associated business record.
- Website and security logs are rotated or deleted when they are no longer reasonably required for security, diagnostic or operational purposes.
Keeping information secure
We use reasonable technical and organisational measures to protect personal information against unauthorised access, loss, alteration or disclosure.
Access to business records and systems is limited to people who need that access for legitimate business purposes.

Depending on the circumstances, UK data-protection law may give you rights including:
- the right to ask what personal information we hold about you;
- the right to have inaccurate information corrected;
- the right to request deletion of information in certain circumstances;
- the right to request restriction of processing;
- the right to object to certain processing;
